Automated User Onboarding/Offboarding and User Lifecycle Management Workflows Improve IT’s Response to Critical Incidents While Protecting Data and Cutting Costs

The first solutions powered by Workflows, available today, are User Onboarding and Offboarding and User Lifecycle Management. These solutions automate provisioning, deprovisioning and user access management within Google for Work applications, giving IT greater control over data, costs and time in the modern, cloud-first workplace. Hundreds of organizations have tested Workflows during a private beta over the last six months, automating millions of actions and proving the solution is ready for large-scale enterprise deployments.

The modern workplace is on the cusp of the greatest technology shift in more than 20 years, with organizations increasingly moving toward a fully cloud-based infrastructure. User Onboarding and Offboarding Workflows
User Onboarding and Offboarding Workflows automate the complex work of provisioning and deprovisioning user access to Google for Work applications, ensuring accuracy and compliance throughout these critical processes. With Onboarding and Offboarding Workflows, IT can automatically:

  • Trigger a dynamic offboarding process that removes primary and secondary calendar events, deletes two-step verification backup codes, app-specific passwords and email aliases, delegates their inbox, revokes access to third-party applications and ultimately, suspends their account;
  • Transfer former employees’ files to a manager, or service account managed by IT;
  • Transfer all groups owned by a former employee to a service account managed by IT so the groups aren’t orphaned;
  • View an audit trail of which actions ran and when, and more.

User Lifecycle Management Workflows
User Lifecycle Management automates complex, multi-threaded processes across Google for Work applications throughout the user lifecycle, and includes tools for establishing, enabling and managing: data loss prevention policies, workforce collaboration policies, data access policies, email settings policies, incident response and scheduled reporting. User Lifecycle Management Workflows enable IT to automatically:

  • Automate settings and access changes based on organizational unit membership, such as group membership, calendar sharing permissions, and more;
  • Quickly act to minimize exposure of compromised accounts by resetting a user’s password, deleting two-step verification backup codes and app-specific passwords, and invalidating third-party application OAuth tokens, all within seconds;
  • Assign Drive storage licenses based on different criteria;
  • Enforce scheduled password policies for all users, or specific groups, and more.
