NEW YORK--(BUSINESS WIRE)--BetterCloud, the leading provider of user lifecycle management, data discovery, and IT and security automation purpose-built for SaaS applications, today launched Workflows – a new automation engine that orchestrates critical, complex processes to ensure accuracy, precision, and compliance. The first solutions powered by Workflows, available today, are User Onboarding and Offboarding and User Lifecycle Management. These solutions automate provisioning, deprovisioning and user access management within Google for Work applications, giving IT greater control over data, costs and time in the modern, cloud-first workplace. Hundreds of organizations have tested Workflows during a private beta over the last six months, automating millions of actions and proving the solution is ready for large-scale enterprise deployments.
“The proliferation of SaaS applications is enabling collaboration and productivity that’s fueling the rise of the modern workplace, but for IT to achieve the level of control offered by on-premises environments, they need security and management solutions purpose-built for SaaS,” said David Politis, CEO of BetterCloud. “Workflows is the latest step forward in BetterCloud’s mission to put IT in control of this new modern workplace. With full control over a SaaS application environment, IT can focus on more strategic work that drives their organization’s growth.”
The modern workplace is on the cusp of the greatest technology shift in more than 20 years, with organizations increasingly moving toward a fully cloud-based infrastructure. In fact, recent data estimates that by 2022, 62 percent of all organizations using a cloud office platform will run 100 percent of their IT in the cloud. When an organization moves to the cloud, however, IT inevitably gives up some degree of control over data governance, security and overall data management. At the individual user level, this lack of control can begin as early as the very first day an employee joins the company and extend long beyond their departure if user access is not effectively managed, putting the company and its data at risk. Workflows automates the most critical user access-related processes to ensure business continuity and safeguard sensitive data at the user and account levels.
User Onboarding and Offboarding Workflows
User Onboarding and Offboarding Workflows automate the complex work of provisioning and deprovisioning user access to Google for Work applications, ensuring accuracy and compliance throughout these critical processes. With Onboarding and Offboarding Workflows, IT can automatically:
- Trigger a dynamic offboarding process that removes primary and secondary calendar events, deletes two-step verification backup codes, app-specific passwords and email aliases, delegates their inbox, revokes access to third-party applications and ultimately, suspends their account;
- Transfer former employees’ files to a manager, or service account managed by IT;
- Transfer all groups owned by a former employee to a service account managed by IT so the groups aren’t orphaned;
- View an audit trail of which actions ran and when, and more.
User Lifecycle Management Workflows
User Lifecycle Management automates complex, multi-threaded processes across Google for Work applications throughout the user lifecycle, and includes tools for establishing, enabling and managing: data loss prevention policies, workforce collaboration policies, data access policies, email settings policies, incident response and scheduled reporting. User Lifecycle Management Workflows enable IT to automatically:
- Automate settings and access changes based on organizational unit membership, such as group membership, calendar sharing permissions, and more;
- Quickly act to minimize exposure of compromised accounts by resetting a user’s password, deleting two-step verification backup codes and app-specific passwords, and invalidating third-party application OAuth tokens, all within seconds;
- Assign Drive storage licenses based on different criteria;
- Enforce scheduled password policies for all users, or specific groups, and more.
“Workflows are a way to help us tame rampant inconsistency for user group membership due to a lack of structured HR workflows,” said Scott Marquardt, IT Manager at The Menta Group, a provider of innovative solutions to critical problems in youth education and human service and a BetterCloud customer. “BetterCloud Workflows will give us an opportunity to establish role definitions enforced by automation, which in turn will help simplify the tedious, constant flux of ‘reprovisioning’ as our people migrate between schools and roles within those schools.”
“BetterCloud is consistently very forward looking in developing best-of-breed tools to address the pain points our customers face when managing their cloud based applications – and Workflows is no exception,” said Andy Eden, Director of Enterprise Sales, Netpremacy, a BetterCloud partner. “With Workflows, IT can quickly introduce consistency and repeatability in what can be complex administration tasks. Workflows are quick and easy to create, just as end users have come to expect from the Google for Work platform itself. At Netpremacy, we’re excited to offer Workflows to our customers and answer their demand for IT process automation across complex, repetitive but critical Google Apps management activities.”
